Project management: what is it all about
Supervising projects is a complex job that involves dealing with four constant components: expenditure, schedule, duration and producing a satisfactory result. A more challenging objective is to improve work processes and resource allocation. The majority of undertakings utilize such recourses as labour, funds, and tools to achieve something of value and hit selected targets. You may come across a number of factors that are very important for effective project management. A few of them are listed in the next paragraph:
- Goal setting and assessing achievement.
- Managing uncertainty. Take any project and you will see that it involves a number of risks that have to be dealt with.
- Allocating labor and tools for the project.
- Understanding the outcome you want to obtain on completion of the project.
- Controlling what is happening: giving out jobs, supervising the work-in-progress.
- Making sure that the products of the project are of satisfactory quality.
- Handling instability. Everything changes. When you start out on the project, you have to anticipate in what way it will evolve with time.
- Talking to people doing the project.
To handle these components you can employ pencil and paper or perhaps a spreadsheet program. However, specialized project tracking software has a number of relevant advantages:
- It makes scheduling easy. The software will automate timing calculations. Each worker can possess their own calendar. It just as well simplifies tracking the work-in-progress on different tasks.
- Managing several projects with different prerequisites. Project tracking software allows project managers to observea larger picture and aggregate information on a number of projects.
- It helps you find the critical path. The critical path is a critically relevant notion in project management. If a task on the critical path lasts more time than expected, the whole timing of the project will be altered. It should be noted that for tasks that are outside the critical path minor changes in how long it takes can have no influence whatsoever on the project.
- Letting everybody involved know what is going on. Complicated projects require data exchanges. Groupware productivity tracking software allows everybody to know what is up at any given point in time.
Should you always choose task tracking software?
Like any software solution, project management software has its limitation. The most suitable time to reap the benefits from such programs is when you work on a few large projects. It could be more appropriate to operate smaller projects manually, so that there is no need to pay big overhead connected with using complicated programs.
